One or two out of the hundreds do catch my eye, though.&nbsp;<\/em><\/p>\n\n\n\n<p>For years, salespeople have used the same old playbook for cold emailing, thinking they had the formula down pat\u2014generic messages, empty promises, and high hopes.<\/p>\n\n\n\n<p>But this traditional approach won\u2019t cut in 2024.<\/p>\n\n\n\n<p>It&#8217;s time for salespeople to embrace a new mindset\u2014one that values quality over quantity\u2014a personalized email approach that focuses on building relationships instead of pushing sales pitches.&nbsp;In this article, we aim to answer questions that keep you up at night: \u201cwhat\u2019s a good reply rate for your cold email campaigns? What\u2019s the reply rate I should be actually aiming for?\u201d<\/p>\n\n\n\n<p><em>And about the one-off cold emails that do catch my eye?&nbsp;<\/em><\/p>\n\n\n\n<p>Are there patterns in those emails that other SDRs could emulate? We explain below.&nbsp;<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"what-is-the-average-cold-email-response-rate\"><strong>What Is the Average Cold Email Response Rate?<\/strong><\/h2>\n\n\n\n<p>The average <a href=\"https:\/\/www.klenty.com\/blog\/cold-email-statistics\/\" target=\"_blank\" data-type=\"URL\" data-id=\"https:\/\/blog.klenty.com\/cold-email-statistics\/\" rel=\"noreferrer noopener\">cold email response rate is 8.5%<\/a>, according to reports. That means for every 100 cold emails sent, expect about 8 people to respond.&nbsp;<\/p>\n\n\n\n<p>This could be because of many reasons, like:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>The<a href=\"https:\/\/www.gartner.com\/en\/articles\/sales-development-technology-the-stack-emerges\" target=\"_blank\" rel=\"noreferrer noopener nofollow\"> average open rate of cold emails<\/a> is only 23.9%<\/li>\n\n\n\n<li>Maybe you\u2019re relying on spray and pray outreach&nbsp;<\/li>\n\n\n\n<li>Maybe your cold email subject line didn\u2019t invoke any action&nbsp;<\/li>\n\n\n\n<li>Maybe your email address looks like this \u2013 giufv99982@hubspotcn.com<\/li>\n\n\n\n<li>Maybe your email just fell into their inbox at the wrong time<\/li>\n\n\n\n<li>Maybe your email copy wasn\u2019t convincing<\/li>\n\n\n\n<li>Maybe, just maybe, your cold emails landed in the spam folder!<\/li>\n<\/ul>\n\n\n\n<p>Alas, there is a multitude of reasons why your email recipients wouldn\u2019t have responded. <\/p>\n\n\n\n<p>But the most important reason, above all, is that maybe you\u2019re reaching out to the wrong people. Even if you\u2019ve dotted all the i\u2019s and crossed all the t\u2019s, the quality of your email list could still be questioned.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"how-to-calculate-cold-email-response-rate\"><strong>How To Calculate Cold Email Response Rate?<\/strong><\/h2>\n\n\n\n<p><a href=\"https:\/\/www.klenty.com\/cold-email-tools\" target=\"_blank\" rel=\"noreferrer noopener\">A cold email software<\/a>, or a sales engagement software, is a helpful sales automation tool that can be used to calculate cold email response rates and other relevant email metrics like cold email open rates, bounce rates, click-through rates, and email deliverability\u2014all in real time.<\/p>\n\n\n\n<p>But if you\u2019re doing manual outreach, here\u2019s the formula:&nbsp;<\/p>\n\n\n\n<p><strong>(Unique email responses\/total number of successfully sent emails) * 100&nbsp;<\/strong><\/p>\n\n\n\n<p>Example: <\/p>\n\n\n\n<p>Step 1 \u2192 (36 unique replies\/80 successfully delivered emails) = 0.45<\/p>\n\n\n\n<p>Step 2 \u2192 0.45 * 100 = 45%<\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"what-is-the-benchmark-for-cold-email-reply-rates\"><strong>What Is the Benchmark for Cold Email Reply Rates?<\/strong><\/h2>\n\n\n\n<p>If you trust that your cold email campaigns have personalized, concise, and valuable content, attractive subject lines, are targeted at the right group of people, and are delivered at the right times, then anywhere <strong>between 1% to 10% is a good benchmark for response rates<\/strong>. <\/p>\n\n\n\n<p>Typically, this number varies across industries.&nbsp;<em>One rule of thumb is to <\/em><strong><em>aim<\/em><\/strong><em> for a response rate of about half your open rate.<\/em><\/p>\n\n\n\n<div id=\"om-js7ivwd5itp7diwkat5y-holder\"><\/div>\n\n\n\n<p><\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"how-do-you-improve-your-cold-email-response-rate\"><strong>How Do You Improve Your Cold Email Response Rate?<\/strong><\/h2>\n\n\n\n<p>Remember we talked about some of those rare cold emails that do capture our attention? <strong>Here are the patterns we found in cold emails that we are most likely to reply to:<\/strong><\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>There are more than 5 emails in the outreach sequence, and we probably kept getting reminded of the email<\/li>\n\n\n\n<li>You have multiple channels of outreach in your sales sequences like calls, LinkedIn messages, and SMS<\/li>\n\n\n\n<li>We were sent a follow-up email within a week of dropping the initial email<\/li>\n\n\n\n<li>The first email is personalized to the prospect\u2019s interests or pain points<\/li>\n\n\n\n<li>The email account was warmed up before the rep started email outreach at scale<\/li>\n\n\n\n<li>Ensured the emails reached us at the best times, irrespective of whichever countries both us and the rep was in<\/li>\n<\/ul>\n\n\n\n<p>You can improve your conversion rates if you\u2019ve crossed most of the boxes above.&nbsp;<\/p>\n\n\n\n<p>We are also including a couple of pointers from top-performing sales reps we spoke to from companies like G2, Deel, and Metadata, whose <a href=\"https:\/\/www.klenty.com\/blog\/cold-emailing-tips-from-sales-reps\/\" target=\"_blank\" rel=\"noreferrer noopener\">effective cold email strategies<\/a> have helped them hit more than 100% of quota in outbound sales.&nbsp;<\/p>\n\n\n\n<p>Here are their tips:<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"keep-your-email-concise\">i) Keep Your Email Concise<\/h3>\n\n\n\n<p>Multiple reports suggest that cold emails should have a <a href=\"https:\/\/www.klenty.com\/blog\/how-long-should-a-cold-email-be\/\" target=\"_blank\" rel=\"noreferrer noopener\">length of 50-125 words<\/a> or 5-10 lines. Readers online skim headlines, subheadings, and bullet points, so most SDRs we spoke to suggested keeping the cold email short and sweet and breaking the text heaviness by adding images. Another helpful point: skip the jargon.<\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"check-if-your-email-follows-this-structure\">ii) Check if Your Email Follows This Structure<\/h3>\n\n\n\n<p>Ask the following questions while curating the email for your cold email campaigns.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Is Your Subject Line Grabbing Eyes?<\/strong><\/li>\n<\/ul>\n\n\n\n<p>By addressing a <a href=\"https:\/\/www.klenty.com\/blog\/cold-email-subject-lines-sales\/\" target=\"_blank\" rel=\"noreferrer noopener\">pain point or asking a question<\/a> that piques their interest in your subject line, you can immediately grab your reader&#8217;s attention. But note that whenever you promise to offer something in the subject line, follow through on it in the email. Otherwise, it\u2019ll piss people off.&nbsp;<\/p>\n\n\n\n<p>For example, &#8220;Are you struggling with [specific pain point]?&#8221; or &#8220;Have you considered [question related to your product\/service]?&#8221;<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Is Your Introduction Personalized?<\/strong><\/li>\n<\/ul>\n\n\n\n<p>Set a good first impression in the opening of the cold email. We recommend you to use advanced personalization, as in personalizing further than using the company name or prospect name. It could be as simple as mentioning a recent company announcement or a shared interest you discovered through their social media profiles.\u00a0<\/p>\n\n\n\n<p>But <a href=\"https:\/\/www.linkedin.com\/in\/beingjowork\/\" target=\"_blank\" rel=\"noreferrer noopener nofollow\">Joel Thomas<\/a>, an SDR from Almabase, says it has to be relevant to the product as well. \u201cIt\u2019s not just <a href=\"https:\/\/www.klenty.com\/blog\/enterprise-sdr-joel-thomas-sales-tips\/\" target=\"_blank\" data-type=\"URL\" data-id=\"https:\/\/blog.klenty.com\/enterprise-sdr-joel-thomas-sales-tips\/\" rel=\"noreferrer noopener\">personalization<\/a> for the sake of personalization, but you\u2019re trying to build a narrative around that particular personalization,\u201d he adds.&nbsp;<\/p>\n\n\n\n<p>He shares an example:&nbsp; \u201cThere was this guy who was a firefighter before he joined alumni relations, which is my target audience. So I used \u201cFirefighting during events.\u201d And I made it about how managing events can be like putting out a fire. So I started with that line, so that caught his interest.\u201d<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Does Your Email Copy Offer Prospects a Benefit?<\/strong><\/li>\n<\/ul>\n\n\n\n<p>Every prospect will have one question in their mind when they receive a cold email: &#8220;What&#8217;s in it for me?&#8221; (WIIFT) or &#8220;Why should I care?&#8221;<\/p>\n\n\n\n<p>In a few words, clearly explain what\u2019s in it for your prospect if they respond to your email. It does 2 things: 1. Gets their attention, 2. Gives them a reason to remember your proposition (among a sea of emails that they\u2019ll probably read).<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Is Your CTA Easy to Reply To?<\/strong><\/li>\n<\/ul>\n\n\n\n<p>End your sales emails with a clear, actionable call to action that encourages your prospect to take the next step. The best CTAs are low-friction; they\u2019re like gentle nudges.&nbsp;<\/p>\n\n\n\n<p>It doesn\u2019t always have to be a meeting invitation. It could be as simple as asking them to watch a video or read a blog. Change the CTAs according to their buying intent.
